We focus exclusively on the Oakland and San Francisco Bay Area. This local focus allows us to provide personalized service and deep knowledge of local regulations, market conditions, and vendor relationships that benefit our clients.
Every association is unique. We assess your community's size, budget, current challenges, and specific needs to create a customized service package. This might include adjusting service frequency, focusing on particular areas like collections or maintenance, or providing additional support during transitions.
Financial Management

Our monthly financial packages include balance sheets, income statements, budget variance reports, accounts receivable aging, bank reconciliations, and detailed transaction reports. We also provide analysis and recommendations to help your board make informed decisions.
We follow a professional collection process that includes automated reminder notices, phone calls, payment plan options, and if necessary, referral to legal counsel. Our goal is to maintain positive relationships while protecting the association's financial interests.
Yes, we provide comprehensive budget preparation services including analysis of historical expenses, vendor cost projections, reserve fund planning, and assessment level recommendations. We work closely with your board to develop realistic, sustainable budgets.
We prepare and submit all required California state filings including annual statements to the Secretary of State, tax returns, and any required disclosure documents. We stay current on changing legislation to ensure your association remains compliant.
Maintenance & Vendors
Property maintenance coordination and vendor relationship management
We maintain relationships with pre-screened, licensed, and insured vendors throughout the Bay Area. For significant projects, we follow the three-bid rule to ensure competitive pricing. We coordinate all work, monitor quality, and handle vendor communications and payments.
The three-bid rule requires obtaining at least three competitive bids for significant expenses (typically over $1,000-$5,000 depending on your association's policy). This ensures transparency, competitive pricing, and helps protect the association's financial interests.
Regular onsite visits are included in our Complete Management service, with frequency determined by your association's needs. We conduct visual inspections, document any issues, and coordinate necessary repairs or maintenance.

Legal & Compliance

ADR is professional mediation service that helps resolve conflicts between association members, or between members and the board. Our trained mediators facilitate discussions to reach mutually acceptable solutions without expensive legal proceedings.
While we're not attorneys, we work closely with qualified association attorneys when legal issues arise. We can recommend experienced legal counsel and coordinate communications to ensure your association receives proper legal guidance.

Emergency Services
24/7 emergency response and after-hours support
Emergencies include situations that pose immediate danger to safety or property, such as water leaks, electrical issues, gas leaks, fire damage, security breaches, or structural damage. Our 24/7 service ensures rapid response to protect your community.
Our emergency response team is available 24/7. We aim to respond within 2-4 hours for urgent situations, with immediate response for life-safety emergencies. We coordinate with emergency services and qualified vendors to address issues promptly.
Yes, 24-hour emergency service is included in our Complete Management package. For Financial Management clients, emergency services can be added or coordinated on a case-by-case basis.
Getting Started
Transition process, contracts, and new client onboarding
Typically 30-60 days depending on the complexity of your association and current management situation. We work to ensure a smooth transition with minimal disruption to operations. For new associations, we can address immediate issues like maintenance backlogs and collection problems.
We'll need your governing documents (CC&Rs, bylaws), financial records, vendor contracts, insurance policies, and current owner database. We'll work with you to gather necessary information and can help organize documentation if needed.
